The success and fun of movie night continues! We could use help with set-up, during event, and clean-up.

Work with the Movie Night Coordinator in advance to determine the number and type of pizzas to order--typically only cheese but maybe also veggie (no meat). On the day of the event, call Costco in the morning as close as possible to opening time and place the order. Request a 4:45 pick-up and request that the pizzas be double-sliced. Pick the pizzas up as close to 4:45 as possible and bring them to the event.
It would be great if someone can arrive at 4:00 to gain acces to the stage equipment and pull out otter snacks.
Move all the tables, split them into two parts and re-configure them as benches. Set up the benches in 4-5 large concentric semi-circles, leaving (1) enough space between the back row and the salad bar to allow a comfortable flow of people; (2) a large open area in front of the stage for people to sit on the floor with blankets, sleeping bags, etc.; and (3) several aisles to allow access to the front rows and the open area. Set up three tables in the southeast corner (near the kitchenette) for concessions. Move the other tables out of the way. (See map.)
Pop popcorn, both traditional (the big circus-style popcorn maker) and microwave as necessary to keep up with demand. Keep an eye on the area where popcorn is being served and monitor availability of salt and butter shakers. There's typically a rush on the popcorn when the doors open, so ideally start popping by 4:45 and/or augment with microwave popcorn to have a large supply by 5:30.
Greet attendees as they arrive; invite them to put their (voluntary) $5/family donation in the jar. Determine total cost of concessions items picked up by each attendee as they reach the end of the line. All items and slices of pizza cost $1.00 (unless otherwise marked), except for the fruit snacks, which are 2/$1.00. It is recommended to keep a stash of fruit snacks handy so that you can give a second bag to anyone who reaches you with only one bag. This is generally preferable to dealing with coins. Recieve the money, count it (before putting it in the cash box) and provide change. Count the total revenue at the end of the evening, identify a second volunteer to verify the count, and complete the necessary paperwork. *Must be a PTA member*
There is a separate station for plating and serving pizza. This needs two volunteers at the busy times (5:30-6:30ish) and one while the movie is playing.
Monitor the concessions tables, keep the various types of snacks stocked, present homemade and perishable items first to encourage sales. Answer any questions about prices (unless otherwise marked, all items--including pizza slices--are $1.00, except fruit snacks, which are 2/$1.00.) Be loosely aware of the flow of attendees through the concessions line and keep an eye out for items growing legs.
Move all the benches, sweep the entire floor, re-configure the benches into tables and re-set the room in the standard cafeteria configuration. (See map.)
Make a Costco run for snacks prior to movie night, this can be done anytime!
